Payment of Fees Policy
Statement Of Intent
We want to ensure that pricing is arranged in a manner that is clear and transparent. We also want to ensure that our setting’s finances are managed in a way that does not have a detrimental effect on the care that is given, and experiences that are offered, to children.
Aim
We aim to administer a system that ensures a fair and robust policy is in place to allow parents and carers to be fully aware of all of the charging within the setting. We also aim to manage the setting’s cash flow - not being in a situation where fees are outstanding to the point that staff salaries can not be paid, or resources can not be purchased for children’s usage.
Method
- On admission parents are provided with a list of charges. If these charges alter then parents are given at least one month’s notice of the forthcoming change
- We do not administer deposits, registration charges or settling in fees - believing that it is in a child’s best interest to be treated as an individual, and using as many settling in sessions as required
- Parents are requested to pay fees within the first week of the month, in advance
- Payment can be made by standing order, cash, cheque or credit/debit card
- Payments are required regardless of absence - whether due to holiday or sickness. If a child is due to be absent for more than a month then this can be altered at the manager’s discretion
- Should the setting be forced to close, due to incremental weather for example, then no charge will be made in this instance and refunds will be made to accounts
Policy for Late Payment/Non-Payment of Fees
- If payment is not made within the first week of the month then a 10% late payment fee will be charged
- If an account falls behind by more than 2 months then the child’s place will be automatically withdrawn. When an account is then subsequently settled the place will be re-offered, but no guarantees can be given that a place will still be available
- This policy does not apply to those who pay by vouchers, but any top up payments should abide by the rule of payment being required within the first week of the month
Free Entitlement and Charging
- A parent is able to opt for free entitlement hours alone and no additional charge will be levied, if this is all that is required
- We provide as much flexibility as possible for parents, allowing them to opt for term time only funding or the stretched offer, whichever suits them better
- Parents can opt to pay for additional hours, or for meals, in addition to the free entitlement and costs will be provided for these prior to take up
- Free entitlement is dependant on the relevant paperwork being completed and adequate forms of identification being provided, prior to headcount day
Additional Charges
- No additional charges are levied for uniform or clothing
- If trips or outings are arranged, they will not be compulsory
Financial Support for Parents
- We accept childcare vouchers and can provide relevant details to parents as required
- Working tax credit may be available to aid parents in their childcare costs; it is parents responsibility to contact the tax office regarding this
